Most of them get solved. The trouble is the handful that don’t — and you find out about those much later.
If you read that list and recognised your own week, you already understand the rest of this page.
Here is how a small thing becomes an expensive thing. It is the same week in every business we have seen.
The shop runs normally. Nothing worth mentioning.
A few products are written off. Small enough that nobody writes it down anywhere you would see.
A discount is given, outside the usual pattern. It is approved by whoever was standing there.
Stock does not match. The manager says it was a counting error, and moves on. It probably was.
You finally see that something is wrong. Nobody can say clearly when it started, who looked at it, or whether it was ever fixed. The details are three weeks old and everyone remembers it differently.
The problem was not Thursday.
The problem was that nobody noticed Monday.
Every day, the things that matter in each outlet get checked — the same things, in the same way, whoever is on shift. When something is wrong, it becomes one person’s job to fix it, with a date. And you can see, at any time, what is still open and what has been closed.
That is the whole idea. Everything below is how it looks in practice.
A short daily audit per outlet — the counts, the cash, the waste, the checks that must not be skipped. It can read figures your ERP already holds, so most of it is not retyping.
A failed check becomes a task with a name against it, a deadline, and room for a photograph or a note as evidence. Not a message in a group that scrolls away.
Nothing closes itself. A good day tomorrow does not cancel a problem today — someone has to say it is fixed, and you confirm it. What keeps coming back is visible instead of forgotten.
These are the real screens. Each one answers a question you already ask — usually by telephone.
One screen for every site, scored for the day, with what is unusual pulled to the top instead of buried. It is the first thing you open with a coffee.
Every check, for every outlet, for that day — passed, failed, or not applicable. No hunting through a chat history to work out what was actually looked at.
The corrective action register. A name, a date, and what has actually been done. If something is late, it says so — and it can escalate rather than quietly ageing.
Where each outlet lands at the current trend, so a slide is a conversation this week rather than a surprise at month-end.
This was not designed from the outside. It was built by Akshay Johny, a Certified Management Accountant in Kerala, out of five years of doing outlet audits and reconciliation by hand — the spreadsheets, the missing figures, the month-end surprises. Every rule in it is one he needed.
“I want to know what is happening without ringing every branch before lunch.”
“I need to catch waste and stock problems while they are still small enough to be worth catching.”
“I need every branch doing the same things to the same standard, and I need to be able to show it.”
You keep the accounting system you have. The numbers your team already enters into it can be read, rather than typed again somewhere else.
The same people, the same shifts, the same closing routine. What changes is that the day gets recorded once, properly, in one place.
The audit runs in the browser and keeps working with no connection. When the line comes back, the day goes up on its own.
About the ERP part, in one sentence: the numbers already sitting in your accounts — sales, damage, voids, discounts — often contain the first sign that something is wrong. Daily Audit’s job is to notice them on the day, not in the review.
You will not stop having small problems — nobody does. You will stop finding out about them three weeks late, and you will be able to point at exactly what was done about each one.
Half an hour, your own outlets and your own checks. If it is not a fit we will say so.
The free edition is a single file you download and open. No account, no card, and it keeps working forever.
